Academic Scheduling Policies

The Board of Trustees specifically states that all UNC Facility Scheduling must be in compliance with Title 3, University Regulations, Article 7, Finance and Administration, Subsections 1-15.   These may be found on the Board of Trustees website www.unco.edu/trustees/university_regulations.

The following serves to summarize the University Regulations:

UNC facilities (including buildings/adjacent grounds and parking lots) are considered a resource of the University.  Facilities designated as state property, provided by the Citizens of Colorado, are primarily intended to support continuing programs of instruction, research and diversified service to enrolled students.  Academic facilities are not owned by individual departments or campus units but by the State of Colorado and are operated and maintained by the University’s Department of Facilities Management, under the direction of the Vice President for Administration. 

UNC facilities shall be scheduled and managed in such a way as to maximize utilization, both for instructional programs and special events. 

Through established scheduling procedures and deadlines, state facilities are to be first reserved for the direct use of students enrolled in instructional programs.

Space priorities are as follows:

  1. Academic courses
  2. University-sponsored events requiring specific facilities
  3. University-sponsored events open to the entire University community
  4. University-sponsored events restricted to membership or internal meetings
  5. Non-University group or organizational events open to the entire University community
  6. Non-University group or organizational events restricted to membership or internal meetings

Academic (class) scheduling exists to:

  1. Effectively coordinate scheduling by centralizing the scheduling process
  2. Manage and approve academic classroom scheduling through the R25 Scheduling Software
  3. Maximize number of classes placed
  4. Maximize departmental preferences
  5. Maximize space optimization
  6. Minimize duplication of space use
  7. Provide training to R25 scheduling software users

ALL academic scheduling must be requested on the R25 Scheduling Software
