Mandatory price agreements exist with Enterprise Rent-A-Car, so Econo-Rate should be used only if Transportation Services or Enterprise Rent-A-Car cannot meet your needs if departing from Greeley.
When calling Econo-Rate, inform them that you are affiliated with the University in order to take advantage of reduced rates. Reduced rates are offered only for official University business; standard rates will apply for personal use. When paying for the rental, it may be necessary for you to have the University’s Tax Exempt ID Number to avoid paying the luxury tax typically assessed on rental vehicles.
Rental insurance may be purchased for an additional per-day charge. Days are determined by a 24-hour period (e.g. if the vehicle is picked up at 9 a.m., then it is due back at 9 a.m. the following day to avoid additional charges).

Enterprise Rent-A-Car 3201 West 10th Street 356-3008 or (800) 593-0505
The State of Colorado has mandatory price agreements with Enterprise Rent-A-Car. As an agency of the State of Colorado, the University of Northern Colorado must first use Enterprise Rent-A-Car, Avis Rent-A-Car, or Budget Rent-A-Car. The only exceptions are if you wish to rent vehicles from either Transportation Services or from Colorado State University, if Enterprise has no vehicles available for rental, or if Enterprise does not have an agency in the particular location where the vehicle is needed.
When calling Enterprise, inform them that you are affiliated with the University, and indicate the nature of the travel (you may use Enterprise vehicles for personal use at State prices, but you must specify this so that your reservation is put under the proper code). When paying for the rental, it may be necessary for you to have the University’s Tax Exempt ID Number to avoid paying the luxury tax typically assessed on rental vehicles (appropriate taxes will apply for personal use). Please note that Travel Agencies may not reserve rental cars from Enterprise Rent-A-Car; the employee must contact Enterprise directly.
Usage codes for Enterprise are as follows:
G60742 - Official University Business
12A2685 - Athletics Only
12C0620 - Personal Use
Enterprise does not permit SUV's or 4x4's to be used for off-road travel.
Damage insurance is not included in the rental price for Enterprise vehicles, except for the 15-passenger van.
All rental prices from Enterprise include unlimited in-state/surrounding-state miles. For travel outside Colorado, Enterprise may determine a daily mileage maximum. Mileage charges in excess of the daily maximum will be determined by Enterprise.
Days are determined by a 24-hour period (e.g. if the vehicle is picked up at 9 a.m., then it is due back at 9 a.m. the following day to avoid additional charges).

The following information has been issued by the Purchasing Office:
Several questions have been raised recently about insurance related to Chartering Buses for groups other than UNC athletes. The following is offered to address those questions:
If you charter a bus to transport groups other than UNC athletes it is imperative that the University confirm the charter company is fully insured and covers occupants if injured. The State of Colorado/UNC does not need to be named as an “Additional Insured”, but should be a Certificate of Insurance holder.
The levels of insurance required are as follows:
General, Personal Injury, and Automobile Liability - (including bodily injury, personal injury, and property damage) with the following minimum coverage, depending on the policy format:
1. Occurrence basis policy - combined single limit of $600,000
2. Annual Aggregate limit policy - not less than $1 million plus agreement that vendor will purchase additional insurance to replenish the limit to $1,000,000 if claims reduce the annual aggregate below $600,000
The charter company should provide proof of insurance prior to the transportation occurring. The proof of insurance should be forwarded to the Purchasing Office in Carter 1002, Campus Box 61 for filing whether the service will be paid with a DPO (under $1000) or regular Purchase Order (over $1000).
