Mail Services strives to provide the campus community with a consistent, high level of service. We work to provide customer satisfaction and a superior level of confidence. We are actively involved in creating a workplace that is both excellent and enjoyable. Mail Services employs one full-time person, one half-time person, and eight to twelve students during the academic school year. During the summer months, one full-time person, one half-time person, and three to six students carry out the task of meeting the campus community’s mailing needs. In fulfilling our mission, we strive to maintain and support these values and principles:

  • Teamwork and mutual support
  • Integrity and honesty
  • Excellent communication, both amongst ourselves and with everyone with whom we do business
  • Tolerance of differences
  • Continued learning and improvement
  • Professionalism

The UNC Mailroom processes over 5 million pieces of mail in the approximately 250 working days of each year, including inter-departmental campus mail, standard/third class bulk mail, periodical/catalog mailings, United Parcel Service, first class, and international mail. We provide both U.S. Postal and UPS service both for campus departmental use and personal use (personal items must be brought to the Mailroom and paid for with cash; please try to bring exact change). We can also provide for you rates for both U.S. Postal and UPS shipping, as well as information to determine the most cost efficient and timely method for sending your mail.

To meet all mailing needs, Mail Services prepares and/or meters first-class, standard, media (book), periodical, and international mail for delivery to the post office. We also ship through UPS Online and a UPS driver picks up at Parsons Hall between 2:30 and 4pm. We presort all letters and package them to be delivered to the Post Office. We also prepare most of our international mail for courier pickup.

Each day, three mail routes are run on campus: two morning routes leave Parsons at approximately 8am to deliver mail to all campus departments and to pick up on-campus and off-campus letters and packages (weighing under 30 pounds), and at 12pm, one route delivers express mail and picks up mail at designated locations throughout campus.

We ask that each campus department separates Colorado letters, campus, out-of-state, stamped, and foreign mail before the route carrier arrives to pick up your mail. Also, if a package weighs more than 30 pounds, or if you have more than three trays or tubs of standard mail, please contact Warehousing Services at 1-2250 (or fax a completed Warehouse Work Request form to 1-1349) to request pickup.

If you are shipping a package from the University to Canada, and if it is valued at or more than $1,500 Canadian (approximately $1,000 US depending on the exchange rate at any given time), then the shipping vendor will be required to provide Canadian Customs with the University's Canadian Business Number: BN: 86359 2028. If the shipping vendor does not have this number, the package will be refused at the border and returned to the University.

Shipping Information and Rates

First Class Mail is material weighing thirteen (13) ounces or less, and could be defined as the basic letter-in-an-envelope mailing. Some examples of First Class Mail include material that is directly handwritten, material having the character of personal correspondence, and material closed against postal inspection (e.g. bills, statements of account).

Priority Mail is that First Class Mail over 13 ounces, but less than or equal to 70 pounds. Priority Mail that is under 13 ounces may be mailed Priority by paying the one pound rate. Priority Mail packages must not exceed 108" in length and girth combined. Priority Mail weighing more than one pound is zone-rated by both weight and destination.

Business Reply Mail is a special First Class Mail Arrangement whereby the original sender may pay postage for responses to correspondence. UNC holds a permit for and maintains an account for Business Reply mail with the U.S. Postal Service. We charge back these postage costs to the appropriate campus departments distributing Business Reply mail. To arrange for the printing of Business Reply envelopes or postcards, please contact University Communications at 1-2331.

Express Mail is time-sensitive correspondence. Mail Services typically uses UPS for express mail service. Service times are Next Day (Early Morning), Next Day, Second Day (Early Morning), Second Day Air Saver, and Three Day. All are guaranteed services. Rates vary based on destination.

Standard Mail is used for identical pieces delivering information. Standard mail is accepted by Mail Services when there are over 200 pieces in zip code order. Mail that is time-sensitive should not be sent in this manner. Mail Services has up to five (5) working days to get mailings of 3000 pieces or less to the Post Office. They, in turn, promise us three to five week delivery time.
